As a VIP Scheduling Coordinator, you will be responsible for handling all incoming physician prescriptions, verifying and documenting all third-party payers, preparing patient admission and scheduling and management of all VIP patients.

What You’ll Need:
• Minimum of a high school diploma or GED required
• Computer experience with knowledge of spreadsheets and word processing functions
• Fluency in English and Spanish required; Prior customer service experience in healthcare setting preferred
What You’ll Do:
• Answer all incoming calls promptly and politely with the utmost customer service, relaying messages as necessary to Marketers and clinics
• Greet referral sources, doctor’s office, insurance adjusters, nurse case managers with warmth, respect and appreciation for their business
• Take patient intakes and referrals and verify all patient insurance for therapy benefits, co-payments, limitations, approved # of visits, expiration dates for authorizations, etc.
• Confirm all evals one day prior to appointment; communicating date, time and location of appointment in addition to co-payments, LOP process and what to expect during first visit
• Email and assist patients with the completion of new patient forms, as per the Billing Manual, and advise patients of their financial responsibility (i.e., copay/deductible amounts per visit and expectation of receiving such at each visit)
• Assist LOP department in composing and sending formal LOP requests
• Verify information for LOP admission intakes
• Work closely with attorneys/case managers/referral coordinators/MDs in scheduling and case management of patients
• Maintain consistent communication with clinic; ensuring completion of required paperwork, scheduled VIP patient appointments and status of LOP intake process
• Maintain consistent communication with referral sources, confirming appointments and directing to appropriate department for records as necessary
• Email completed eval notes to MD office and/or Attorney
• Mark cancellations, no-shows and reschedules in the Scheduler and communicate non-compliance to MD office and/or Attorney
• Fax/scan/email therapy notes to physicians and others as needed in a timely fashion
• Answer emails promptly
